    Monitor Inspection

    INTRODUCTION

    The Monitor Inspection screen is used to select, assign and manage state inspections of agency jobs.  Administrators can select jobs for monitor inspection, enter inspection results and create call back work orders for failed or missing measures.  The following information is displayed in the columns: Re-Inspection; Job Number; Job Status; First Name; Last Name; Monitor; Selection Date; Monitored Date; Total Amount; Failed. 

     

     The Monitor Inspection screen can be accessed from WORKFLOW on the main menu, or by opening the client’s record from the Client List screen and selecting Monitor Inspection from the WORK ORDER menu.

    1. To update a record, click Edit  at the beginning of the row. 
    2. To view (read-only) an existing record, click View at the beginning of the row.

     

    If Monitor Inspection is chosen from WORKFLOW, all jobs for your organization will be listed. Individual jobs can be located by searching by Job Number, Job Status, First or Last Name or the name of the Monitor.  If selected from a job, only records for that specific client and job will be listed.

    FEATURES AND TASKS

    SEARCH AND FILTER OPTIONS

    To search the Monitor Inspection screen from the Main Menu, enter the Agency (this will default to your agency, but Administrators can select any agency), Monitor, Job Status, Monitored Date range, Paid Date range, Funding Source, Re-Inspection and/or Include Paid Jobs at the top of the screen and click Search.  Or you can enter the desired search criteria (Job Number, First Name, Last Name, Monitor, and/or Failed) in the appropriate column and click the Apply Filter button.  Common searches on this screen include:

    • Monitor’s can find all jobs assigned to them:
      • Search by Monitor Name
    • Find jobs that are ready for monitor inspection:
      • Select Ready for Re-inspection. This will include jobs ready to inspect or inspected jobs ready for re-inspection. 
    • Find jobs that failed monitor inspection:
      • Select Not Ready for Re-inspection and Yes in the Failed column.
    • Find failed jobs that have been corrected and are ready for re-inspection:
      • Select Ready for Re-inspection and Yes in the Failed column.
    • Find Jobs that have passed monitor inspection:
      • Select Complete for Re-inspection and No in the Failed column. You can also enter a date range for Monitored Date.
    • Find failed jobs for a specific monitor:
      • Select the name of the Monitor and Yes in the Failed column.

    SELECT A JOB TO MONITOR

    From the Client menu:

    1. Select Monitor Inspection, highlight the row and click the Select/Unselect button at the bottom of the screen.
    • The Select/Unselect button can also be used to unselect jobs that were previously selected for monitoring.
    1. To assign an inspector, click Edit at the beginning of the row.
    2. Select an inspector from the Monitor Inspector drop-down list.
    3. The Date Selected field will automatically populate with today’s date.
    4. Click Save.

    From the Main Job Menu:

    1. Select Monitor Inspection from the WORKFLOW
    2. Click on the job(s) you are selecting to highlight the job, then click the Select/Unselect button at the bottom of the screen.
    • The Select/Unselect button can also be used to unselect jobs that were previously selected for monitoring.
    1. To assign an inspector, click Edit at the beginning of the row.
    2. Select an inspector from the Monitor Inspector drop-down list.
    3. The Date Selected field will automatically populate with today’s date.
    4. Click Save.

    COMPLETE THE INSPECTION

    From the Client Menu:

    1. Select Monitor Inspection and click Edit at the beginning of the row.
    2. Select Pass or Fail from the Overall Job Evaluation drop-down list.
    3. If the monitor performs a blower door test, enter the results in the Monitor CFM
    4. If the inspector was not already assigned, select the name from the Monitor Inspector drop-down list.
    5. In the Date field select the date using the Calendar   feature or directly enter the inspection date.
    6. Enter general inspection comments in the Comment field.
    7. Click the Measure
    8. If all measures pass or fail the inspection, select Pass or Fail from the Record Status of All Measures drop-down list, then click the set button.
    9. To pass or fail individual measures, click Edit at the beginning of the row for that measure and select Pass or Fail from the drop-down list in the Status column. Click Save.
    10. To enter comments for individual measures, click Edit at the beginning of the row for that measure and enter the comment in the Comment column. Click Save.
    11. Click Save.

    From the Main Menu:

    1. Select Monitor Inspection from the WEATHERIZATION.
    2. Find the job or use the filters to search by Re-Inspection, Selected to Monitor, Job Number, First Name, Last Name, Monitor, and/or Failed.
    3. Click Edit at the beginning of the row for that work order.
    4. Follow the steps listed above to complete the inspection.

     

    • Tip: If only one or two measures failed, use the Record Status of All Measures drop-down list to set all measures to Pass, and then edit just the measure(s) that failed.

    FAILED MEASURES AND CALLBACK WORK ORDERS

    If a measure failed during monitor inspection, click the Issue Callback Work Order button at the bottom of the screen.  This will bring up the Work Order screen with the failed measures.  You can change the vendor and date and save the record.  The Callback checkbox at the top right of the Work Order Detail tab is checked.  On the Work Order and Installation screens the new work order displays a Yes in the Call Back columnRemember to install and inspect callback work orders just as you would a regular work order.  

    UPLOAD, VIEW AND PRINT PHOTOS

    Open a Monitor Installation record by clicking the Edit button.

    To upload a photo:

    1. Click the Upload Photo button at the bottom of the screen.
    2. Select the Measure Group from the drop-down list.
    3. Enter any Notes relating to the photo.
    4. Under Upload File, click Select File.
    5. Locate the file to upload and click Open.
    6. Click Save.

    To View photos:

    1. Click the View Photo button at the bottom of the screen.

    To Print photos:

    1. Click the Print Photo button at the bottom of the screen, or click the View Photo button and click Print.

     

    REPORTS AND FORMS

    • Monitor Inspection Form - A printable form that includes job information and all installed measures. Inspection data (status and comments) can be recorded on this form along with monitor and customer signatures.  You can print the form after the inspection is complete to include the inspection detail.
    • Work Orders or All Work Orders Issued for the Job – A printable report that includes all work orders created for the job.
    • Export Job Information - exports all client and job information to an Excel spreadsheet.

     

    STATUSES ON THE MONITOR INSPECTION SCREEN

    Work Order – Work order has been completed; pending subcontractor or crew installation.

    Install – Work order has been installed; pending agency inspection.

    Inspection – Work order has been inspected; measures have not been invoiced.

    Inspected – All work orders for the job have been inspected and invoiced.

    Monitor – The job has been monitored by the state or grantee.

    Paid – All measures for the job have been invoiced and paid.

     

    RELATED TASKS AND INFORMATION

    Jobs that have been selected for Monitor Inspection will be locked and cannot be edited or invoiced until they have passed the inspection.
