    Client Status Report

    INTRODUCTION

    The Client Status Report provides an overview of all clients and jobs in the system.  The following information is displayed in the columns, and multiple reports can be generated by clicking on the links in each column:  Clients Entered; Jobs Entered; Scheduled; Audited; Work Ordered; Measures Installed; Inspected; Invoiced; Paid; Units Completed.  To print the screen, click Print.

    CLIENTS ENTERED COLUMN

     The Clients Entered column includes the number of clients in each of the following statuses:

     Eligible - client is eligible for weatherization work.

     Ineligible - client is not eligible for weatherization work.

     Incomplete - application is not complete.

     MF Ineligible - multifamily projects where applicant is not eligible

     

    To view the clients entered details click one of the blue hyperlinks. The list will be sorted by Funding Source and include a summary showing the number of jobs and total cost for each funding.

     

    Job Statuses: Scheduled, Audited, Work Ordered, Measures Installed, Inspected and Paid

    To view the detail behind the numbers in each column, click the link (the number) under the column.  This will display a printable list of all clients and jobs and their detailed information that can be printed or exported to Word, Excel or a .pdf file.  The list is sorted by Funding Source and includes a summary showing the number of jobs and total cost for each funding source. 

     The overall status of a job is the least advanced in the workflow. For example, if there are multiple Work Orders for a job, the status will not change from Audited to Work Ordered until all measures are on a work order.

    Only one job can be included in each of these statuses:

    Scheduled – the number of jobs scheduled for an energy audit at the time of the target date. 

    Audited – the number of jobs where the job status is later than scheduled, but not work ordered at the time of the target date.  

    Work Ordered – the number of jobs where a work order(s) is created and ready to be installed. Jobs are counted in the work ordered column if the most recent work ordered date is on or before the target date, and the installation date is empty or the installation date is later than target date.

    Measures Installed – the number of jobs where all measures are installed and ready for agency inspection. Jobs are counted in the measures installed column if the most recent installation date is on or before the target date and if the inspection date is empty or the inspection date is later than target date.

    Inspected – the number of jobs where all measures are inspected, but not invoiced or paid at the time of the target date. Jobs are counted in the inspected column if the most recent inspection date is on or before the target date. If a job is invoiced, and the target date on the Client Status screen is before the job's invoice date, then the job will be counted in the inspected column.

    Invoiced – the number of jobs that have been invoiced, but not paid.  Jobs are counted in the invoice column if the most recent invoice date is on or before the target date.

    Paid – the number of jobs that have been paid. Jobs are counted in the paid column if the most recent payment date is on or before the target date.

    Units Completed* – the number of jobs where the completed date falls on or before the target date.  A job's completion date in Hancock is added to the audit information screen when all of job's installed measures are on a submitted invoice.

    *Jobs in the Units Completed column can also be counted in the Invoiced and Paid columns.  

     

     

    JOBS ENTERED COLUMN

    The Jobs Entered column includes the number of jobs in each of the following statuses:

    Active – all jobs that have a status of Scheduled or beyond.

    Denied – all jobs that have been Denied on the Audit Information screen.

     

    To view the job detail for all jobs or by status, click the link (the number of jobs) in the Jobs Entered column.  This will display a printable list of all clients and their detailed information that can be printed or exported to Word, Excel or a .pdf file.  The list will be sorted by Funding Source and include a summary showing the number of jobs and total cost for each funding.

     

    RELATED TASKS AND INFORMATION

    1. This report shows the status of jobs at a particular point of time (the Target Date you specify). To see the number of audited and completed jobs in a specified date range, select the Job Process Report.
    2. Multifamily units on this Report - multifamily projects are listed on the Multifamily List on the main menu. Each project can have linked jobs and multiple common areas. Common areas will not count as a unit on this report, but jobs that are linked to a multifamily project will appear under each job status.
