    Advanced Duplicate Address Checking Turned On

    The WAP online product has an advanced Program Option that enables states to ensure a Client address is entered only one time in the system.  The system checks the address against all existing clients for a matching address (defined as the street address, Apartment Number, and City), as well as any Imported records not converted to a client, at the time of client creation or upon saving a client after editing.  If the address already exists, a prompt message " "The same funding source exists in the other duplicate clients” is returned indicating that there is a duplicate. 

    Example:  

    If the Program Option is turned on and a duplicate is found, there is a duplicate prompt for the user, however, the client doesn't go to the client approval screen.  Instead, after the prompt message, you can proceed with entering the client.   If this program option is turned on, you can duplicate the funding source.

    To Turn on Advanced Duplicate Address Checking:

     

    • As administrator of the Program, Log Into WAP.
    • Select Program Options
    • Select Advanced Duplicate Checking.
    • Click Save.

     

    Advanced Duplicate Address Checking Turned Off

     

    • As administrator of the Program, Log Into WAP.
    • Select Program Options
    • Deselect Advanced Duplicate Checking.
    • Click Save.

     

    Turning off the Advanced Duplicate Checking will send clients to the client approval screen for approval.  Turning off this feature will still check for duplicate Funding Source.  To comply with state requirements, when a Funding Source is assigned to a client, the address (street address first 8 chars, apartment number, and city) are checked against all clients with the same Funding Source.  Duplicates will result in an error and can not be saved. 

     

    False Duplicate Address Errors:

     

    If you are receiving the error message on the creation of a new Client or on Copying a client, and the address which is shown as duplicate is not, please check the first 8 characters of the address.

     

    For example:

    1309 West 10th Street          Apartment 1             Portland

     

    May be flagged as a duplicate to

    1309 West 11th Street          Apartment 1             Portland

     

    To work around this issue, please change one of the addresses to use a different character in the first 8 spaces. 

     

    Example:

    1309 West 10th Street          Apartment 1             Portland

    1309 W. 11th Street          Apartment 1             Portland
